Acceptable Use Policy

This Acceptable Use Policy (the "AUP") sets out the rules that apply to all use of the GreenDoorAI Service. It is incorporated by reference into the Subscription Terms and Conditions. Capitalised terms have the meanings given in the Terms.

Why this matters. GreenDoorAI sends outbound communications on behalf of many customers. Misuse by one account can damage deliverability, security, and reputation for everyone. We enforce this AUP strictly and may suspend or terminate offending accounts immediately, without cure period and without refund.

1. Scope

This AUP applies to you, your Authorised Users, and anyone using the Service through your account or credentials. You are responsible for compliance by all of them.

2. Prohibited content and conduct

You shall not use the Service to store, send, generate, request, or facilitate:

  • content that is unlawful, threatening, defamatory, obscene, harassing, or discriminatory on the basis of any protected characteristic;
  • content that infringes the intellectual property, privacy, publicity, or other rights of any third party;
  • malware, viruses, ransomware, exploits, or any code or instructions designed to damage, disable, or gain unauthorised access to systems or data;
  • fraudulent, deceptive, or misleading content, including phishing, social engineering, or impersonation of any person or organisation;
  • content that promotes or facilitates illegal activity, violence, terrorism, self-harm, the sexual exploitation of any person, or the abuse of children;
  • activity that interferes with, degrades, or imposes a disproportionate load on the Service or our infrastructure;
  • attempts to access systems, accounts, data, or networks you are not authorised to access;
  • activity that breaches export-control or sanctions laws applicable to you or to us.

3. Outbound email and anti-spam

When using the Service to send outbound email, you must:

  • comply with all applicable anti-spam and direct-marketing laws in your jurisdiction and in each jurisdiction you send to, including the UK Privacy and Electronic Communications Regulations (PECR), the EU ePrivacy Directive, the US CAN-SPAM Act, Canada's Anti-Spam Legislation (CASL), and equivalent laws elsewhere;
  • send only to recipients in a business context for legitimate B2B outreach, and not to consumers in their personal capacity;
  • have a lawful basis (such as consent, soft opt-in, or legitimate interests as applicable) for contacting each recipient;
  • provide a clear sender identity, accurate header information, and a working unsubscribe mechanism in every marketing email;
  • process unsubscribe requests promptly and maintain suppression lists, including across campaigns, accounts, and integrations;
  • not send to lists obtained by purchase, scraping, or any other means lacking a lawful basis;
  • not use the Service to deliver attachments or content unrelated to your stated outreach purpose, including bulk attachments, large media files, or surveillance payloads.

4. LinkedIn and other connected platforms

When using GreenDoorAI features that interact with LinkedIn (including the browser extension) or any other third-party platform, you must comply with that platform's own terms of service, including its prohibitions on automation, scraping, and rate-limit circumvention. You must stay within the daily and weekly LinkedIn message and connection-request caps published for your Plan.

You acknowledge that the third-party platform may rate-limit, restrict, or terminate your account at any time and that GreenDoorAI is not responsible for those decisions.

5. Suppression lists, consent, and recipient rights

You must maintain accurate records of consents and opt-outs and apply them across all of your campaigns and connected channels. You must promptly action recipient requests to access, correct, or delete their personal data, and forward to privacy@greendoorai.com any request directed to GreenDoorAI as processor that you cannot fully action yourself.

6. No impersonation; AI-generated content

All outbound communications must originate from the authenticated identity of a real Authorised User of your organisation. You shall not use the Service to impersonate any person or organisation, to send communications under a false sender identity, or to mislead recipients about the source of the communication.

AI-generated content drafted by the Service is a draft for human review. You must keep a human in the loop for every outbound communication; bulk-approve workflows are permitted, but bulk approval requires a human to review and accept the items as a set. You shall not attempt to bypass, automate, or otherwise circumvent the human-approval step. (See clause 17 of the Subscription Terms.)

7. Sending reputation and shared infrastructure

GreenDoorAI uses shared sending infrastructure (including Microsoft 365 / Exchange Online) to deliver transactional and product email and to support outbound features. You must not engage in patterns that endanger the reputation of that infrastructure, including (without limitation):

  • sending to invalid, role-based, or "spam-trap" addresses at high volume;
  • maintaining bounce rates, complaint rates, or unsubscribe rates above industry-standard thresholds;
  • warming domains or IPs in ways that breach the AUP or applicable law;
  • sending content likely to trigger spam, phishing, or malware filters;
  • any activity that has resulted, or is likely to result, in our domains or IP ranges being placed on a public or industry blocklist.

We monitor for these patterns and may throttle, suspend, or terminate your access immediately on detection in order to protect the Service and other customers.

8. Reporting abuse

To report a suspected breach of this AUP — including spam, phishing, abusive content, or security issues — email abuse@greendoorai.com. We aim to acknowledge reports within two business days.

9. Enforcement

We may investigate suspected violations of this AUP. Where we reasonably determine that a violation has occurred, or where activity poses a credible risk to the Service or to third parties, we may (alone or in combination): warn the account, throttle activity, remove or quarantine content, suspend access, or terminate the account immediately, without a cure period and without refund. Where reasonably practicable we will notify the account of the action taken and the reason. We may also disclose information to law enforcement or regulators where required by law.

10. Changes

We may update this AUP from time to time. We will publish the updated version here with a revised "Last updated" date and, for material changes, give at least 30 days' notice through the Service or by email before the change takes effect.
